OMAN CLIMATE WEEK​

Oman Climate Week event is unique in the GCC, where we expect over 100 speakers across multiple sessions and 5,000 attendees from more than 50 countries. It will gather global experts to explore strategies for combating climate change, connecting organizations in policy, technology, finance, and energy to promote a sustainable future.

Exhibitors will have a chance to showcase solutions in:

Exhibit Hall Hours

Exhibit setup for booths begins: 21st to 23rd February 2025, from 08:00hrs to 23:59hrs.

Exclusive access for exhibitors: 7:30 a.m. each day on the 24th 25th & 26th February 2025

Exhibit Hall Hours

Monday, February 24th 2025 : 08:30:00hrs to 17:30hrs

Tuesday, February 25th 2025: 08:30hrs to 17:30hrs

Wednesday, February 26th 2025: 08:30hrs to 16:00hrs

Move-in and Move-out Dates:

Move-in: 21st to 23rd February 2025, from 08:00hrs to 23:59hrs.

Move-out: 26th February 2025 (immediately after exhibition closes, until 23:59hrs)

Breakdown for Exhibition Hall 1: 27th & 28th February 2025 08:00hrs to 23:59hrs.

Dismantling is only allowed after all visitors have left.

Exhibitors can access the hall on the 23rd of February 2025 if needed.

All booths must be fully set up at least two hours before the event starts to allow for final cleaning and preparations.

Organizers Information Office

  • The organizers have an office at the venue to assist during build-up, move-in, dismantling, and move-out.
  • The manual is available at OCEC.
  • Utilities for space are provided by OCEC.

Lighting/Power Supply/ Wi-Fi/ Water

  • The exhibition hall has adequate general lighting.
  • Basic Wi-Fi is available.
  • Contact OCEC for additional requirements.
  • Please share the requirements for lighting, power, and water three weeks before the event.

Photographer

The official photographer is available throughout the exhibition.

Security

  • General security is provided, but the organizers are not responsible for loss or damage.
  • All exhibitors are requested to occupy their stalls 30 minutes before the opening time of the Exhibition and should leave their stalls only after all the visitors have left the exhibition hall.
  • A doctor and ambulance will be organized by us in case of emergency.

Insurance

  • The Organizers cannot be held responsible for any claims, demands, costs, or expenses to which they may be subjected because of loss, damage, theft, or injury arising to any person while such person is on or passing the exhibitor’s stand.
  • Exhibitors should ensure all personnel, exhibits, and articles for display at the stand.

Exhibitor Badge

  • Exhibitor badges will be provided for all exhibitors.
  • These badges are valid for the duration of the build-up and dismantling period.
  • No exhibitor will be allowed entrance without the exhibitor badge.
  • Badges will be arranged in advance for sponsors, delegates, MEM, etc.

Online Show Catalogue

  • An Official Show Guide will be published carrying information on the event agenda and the exhibitors.
  • Exhibitors need to fill out a form containing a brief description of the company, its products, and its representatives, not exceedingly more than 200 words.
  • All editorial materials must reach the organizers 4 weeks before the exhibition date.
  • Failing this, the organizers will not be responsible for the inclusion of the exhibitor’s details in the exhibition catalog.

Power, WiFi & Additional Requirements

Please order your requirement of WIFI/ telephone/optional furniture and electrical connections well in advance, along with the payment to the Venue OCEC.

Fire Exits & Related Instructions

  • Keep all fire exits clear at all times.
  • Ensure fire safety protocols are adhered to.
  • Exhibitors are not permitted to conduct demonstrations using live fire or heated oil.

Occupying the Stands

  • Exhibitors are requested to be present and occupy their stand 30 minutes before the commencement of the exhibition.
  • Leave only after all visitors have left the premises after closing time.

Entertainment during the Exhibition

Any kind of Folklore or Cultural demonstration during the exhibition that involves music and dance is prohibited in the exhibition center unless special permission is obtained in advance from the organizers.

Activities on Exhibition Stands

  • Do not use the common area outside the boundaries of your designated stand for displays or promotional activities.
  • No exhibits or advertising signs can be placed outside the confines of the exhibitor’s stand.
  • No advertising, demonstration, or canvassing for business can be carried out anywhere within the exhibition hall except at the exhibitor’s own stand.

Exhibitor Badges

  • Exhibitor Badges will be issued to all Exhibitors and their staff manning their stand.
  • Exhibitors are requested to wear their badges while in the hall for the duration of the show.

Stand Cleaning

  • The Organizers will arrange for the general cleaning.
  • Exhibitors are responsible for maintaining their own stand in a tidy condition at all times.

Smoking

  • Smoking is strictly prohibited in the exhibition halls at all times throughout the duration of the exhibition.
  • Designated smoking areas would be available in the venue.

Condition for Electrical Rental

  • Electricity will be supplied through the venue only.
  • All items ordered are on a rental basis, and exhibitors will therefore have to make good of any damages or losses.
  • Exhibitors with very sensitive equipment are advised to bring their own stabilizer & UPS devices to cater for voltage fluctuation & backup.
  • Any complaint regarding rental/installation must be registered with the venue one day before the exhibition commences.

Storage

  • No storage space is available at the venue.
  • Exhibitors must take care of their own belongings.

Sound Level

The Organizers reserve the right to determine the acceptable sound level for working exhibits and audio-visual presentations in the event of a complaint from other exhibitors.

Exhibition Conditions

  • Only the products and the organization name entered in the application form will be allowed to be displayed on the stand.
  • Exhibitors are wholly responsible for the safety of their exhibits, employees, the public, and themselves before/during/after the Exhibition.
  • Exhibitors are not allowed to bring into the Exhibition area/stands any exhibit or any substance that is liable to cause harm to the public or cause a fire or explosion.
  • The Organizers may, in their absolute discretion, demand the removal of, or take steps themselves to remove, any such exhibit or substance at the Exhibitor’s expense.
